AI tools feel like a private conversation, but they are software services with their own rules about how data is stored and used. Before you paste a contract, a customer list or a financial report into a chat window, it is worth knowing what happens next.
Know what you are pasting Sort information into three simple groups:
- Public: anything already on your website or in published material. Generally safe.
- Internal: plans, drafts and processes. Use only approved tools with business-grade privacy settings.
- Confidential: customer personal data, passwords, financial details, contracts and health information. Keep it out unless your organization has explicitly approved the tool for it.
Check the settings and the plan Many AI services offer business plans or settings that limit how your data is retained or used to improve their models. Read the data policy of the tools your team uses, choose the right plan, and turn on the strictest settings that still let you work.
Remove what is not needed Often you can get the same result without the sensitive parts. Replace names with roles, remove account numbers, and summarize instead of pasting full documents.
Set a simple team policy
- A short list of approved tools.
- Clear examples of what may and may not be shared.
- A rule that AI output is reviewed by a person before it reaches a client.
- A contact person for questions.
