Meetings That Earn Their Place

By Islam Mohammed Saad ยท September 30, 2026

Meetings are one of the most expensive tools a business uses, yet they are rarely managed like one. Add up the time of everyone in the room and a single hour can cost more than many software subscriptions. A meeting should earn its place on the calendar.

Ask first: does this need a meeting? If the goal is to share information, a short written update or a recorded video often works better. Meetings are best for decisions, problem solving, alignment on difficult topics and building relationships.

Before the meeting

  • Define one clear purpose: what will be decided or produced by the end.
  • Share a short agenda and any reading in advance.
  • Invite only the people needed for the decision.
  • Choose the shortest realistic time, not the default hour.

During the meeting

  • Start on time and restate the purpose.
  • Keep discussion tied to the agenda, and park unrelated topics.
  • Make sure quieter voices are heard before deciding.
  • End a few minutes early to confirm decisions and next steps.

After the meeting Send a brief summary within the same day: what was decided, who owns each action and by when. Without this, many meetings are simply forgotten.

Audit your recurring meetings Once a quarter, review every recurring meeting. Shorten it, reduce attendees, change its frequency or cancel it. Protecting your team’s focus time is one of the most practical management decisions you can make.
